Get Started
To get started, first download the ShulCloud Mail Merge Tool (find it at https://yourdomain.shulcloud.com/SCMailMerge/setup.exe). When installing the applications, several security warnings will pop up. Please be sure to click "more info" and "install anyway" to complete the installation.
Use the Mail Merge Tool
The new ShulCloud Mail Merge Tool allows any list in ShulCloud to be downloaded and turn it into a mail merge document in Word with a few clicks. This can be used to create paper mail, envelopes and mailing labels in a variety of formats, and to customize and edit each letters or templates to be customized.
*Note: the tool is not compatible with Word versions earlier than 1997.
- Navigate to Communications > Legacy Mail
- Select Paper Mail
- Select "Download List/Mail Merge instead of Generating Mail" and select the type "Microsoft Word Connector:"
- Once the file has been downloaded, double click the file, and the Mail Merge Tool will launch.
- Upon opening, it will ask if you want to create a new mail merge template, use an already created template, or edit an existing template:
- If you choose to create a new template, you can choose if you want to create a paper mail document, mailing labels or envelopes. Each option will then open in Microsoft Word with that mail merge process already started.
For example, if creating mailing labels, once Microsoft Word has auto-launched, the first screen available is to select the label type. The most common label type (Avery 5160) can be found by selecting "Page Printers" on the top, then choose "Avery US Letter" from the Label Vendors, and then scroll to the desired label size: - Once the label type is selected, the letter will open:
- In the first field, select "Insert Merge Field" on the top of the page and select the type of data you want to insert onto your lab.
- Once the fields have been entered, spaced as desired and formatted the text, select "Update Labels" to match each of the other labels to the first one:
This help document from Microsoft will help you if you have questions with the actual mail merge process.
This template can then be saved and used without needing to insert the merge fields or update the labels.
