Appointments are scheduled by setting up a Mitzvah Tools Event Type Calendly link. Appointments cannot be scheduled directly through the Mitzvah Tools applications. However, once an appointment with the #MT event type is created in Calendly, it will appear in the appointments section of Mitzvah Tools.
The Calendly appointment with the #MT event type will be emailed to the person scheduling the appointment and the owner of the event type.
Creating an Event Type in Calendly
- Navigate to the paid Calendly account that will be connected with Mitzvah Tools. Note - the free sample or free version of Calendly does not integrate with Mitzvah Tools.
- Select + New Event Type to create a new event type to be used specifically for Mitzvah Tools Appointments.
- To ensure that an Event Type will integrate with Mitzvah Tools, it must begin with a hashtag (#).
- If there are multiple users in a shul using Calendly to schedule appointments in Mitzvah Tools, it is recommended to create an event type for each user. For example, #MTRabbi, #MTTutor, etc.
Connecting Calendly with Mitzvah Tools
- Navigate to Mitzvah Tools and sign in as a Program Manager.
- Navigate to Program Settings.
- Select General Settings.
- Under the Calendly heading, select Connect to Calendly.
- This will open Calendly. Select Connect to Calendly again.
- Once connected, the Mitzvah Tools setting will look like this:
- To disconnect Calendly from Mitzvah Tools, simply select Disconnect from Calendly.
Enabling Additional Calendly Admins
To allow a Tutor or other member of the B'nai Mitzvah team to connect their own Calendly Account:
- Navigate to Staff.
- Select Edit Profile for the user.
- Scroll to the bottom of the profile and update the Calendly Admin field from "No" to "Yes".
- Select Update Staff.
Scheduling an Appointment
Appointments are scheduled by sending the Calendly #MT Event Type to the person or people who will be scheduling the appointment. The link to schedule can be sent within Mitzvah Tools via Team Messages, which includes all people on a student's team: the student, parent, tutor, and program manager.
Once an appointment has been scheduled via Calendly, the confirmed appointment will appear under Appointments in the Mitzvah Tools Dashboard for all parties.
Appointment details such as the phone number or virtual meeting link must be accessed through the email confirmation.
