Summary
Due to the newly established rules by Visa and Mastercard affecting the USA and Canada ShulCloud will be implementing new processes. In this article we will take you through what is not impacted on the settings and how to update your database to comply with new implementations.
Please make sure you complying with your state regulations as well.
Our development team has exerted considerable effort to make these changes as seamless as possible for our customers. While some adjustments will impact everyone, the overall transition has been designed for minimal disruption.

Terminology Updates "Convenience Fee" across ShulCloud changes to "Transaction Fee" or simply "Fee"

A voluntary fee (Fee mode "Ask the Payer") is essentially a donation, as people are asked if they would like to include or exclude the fee at the time of payment.

A mandatory fee (Fee mode of "Always", "Charge when amount is below", or "Charge when amount is above") will be a surcharge.

"Transaction" will replace "Convenience" in the "What's this?" payment page help pop-up.

"Convenience Fee Charge Type" across ShulCloud changes to "Online Transaction Fee Donation"

Data Updates
- A Charge Type called "Online Transaction Surcharge" will be added to all sites
- Under Admin Menu > Settings > Other Financial Settings, "Processing Fee Surcharge Charge Type" will be created.
- Payment Email Templates (Admin Menu > My Lists > Template Text) will gain a "fee_details" token to break out the fee from the base donation/payment in email payment notifications
Local Site Changes for the USA and Canada
- If a gateway setting is changed to a Mandatory fee mode, to always collect the fee or collect it when the amount is above/below, the Charge Type Fee Override will be disabled and the gateway will force the fee settings.
How to Update
Charge Types
- Admin Menu > My Lists > Charge Types
- ShulCloud will create a new charge type called Processing Fee Surcharge Type.
Settings
- Admin Menu > Settings > Edit Settings > Other Financial Options
- ShulCloud updated the name of the field "Convenience Fee Charge Type" to "Online Transaction Donation". The previously assigned charge type, or site setting, will remain unless changed.
- ShulCloud created and assigned a charge type (Processing Fee Surcharge) for mandatory fees in the field called "Processing Fee Surcharge Charge Type"
Template Text
- Review your template text in Admin Menu > My Lists > Template Text > Email Payment Notifications to add the [fee_details] token. This will separate the fee from the rest of the payment. If you have set up different charge types for fee donations and fee surcharges, the corresponding charge type will show in the email and on receipts depending on if your gateway fee was set to a voluntary option or a mandatory option.
