Utilize our School Feature to seamlessly enroll Students for the first time even after the start of your Enrollment and Term. This document provides instructions on how to create your School Term, Registration, Grades, and Classes enabling you to register your students while your term is already ongoing. These instructions assume that you have charged your students prior the School Feature setup and will not provide information on how to add charges.
Before You Begin
Prior to access the School Feature in ShulCloud you will need to purchase the Feature. This guide is designed specifically for those whose school year have already started and require a step-by-step instructions for adding students and their registrations to the backend of the School Feature for the first time.
Please note that all Training Materials within this documentation will require your active login to your ShulCloud site.
Permissions
- Add Roles to your Religious School team (Educational Director, Assistant Educational Director, Teachers, Helpers/Madrichim, etc.)
Please note: Roles have to be added to all admins who need access to the School Feature. This step is critical for the setup and will not differ from the process if you have used the system before or not.
Term
- Create your Term
- Because of our unique circumstances please consider the following steps:
- For Enrollment choose Yes
- Click on No Payment for Take Payment During Enrollment
- For Emergency Contacts you may choose any of the options, however to make your registration faster we suggest the Are not required, but should be shown. This option will let you enter it in if you have collected this information prior using the School Feature, but is not required.

- Consider limit the Email Confirmations to Admins only as you may not want to send those to the registrants, considering that the school year has already started.
Grades
- Follow the instructions on how to add your Grades
Please note: Adding Grades will not differ in any way in our case
Courses and Classes
- Add your Courses
- Since we are not collecting any payment please leave the Cost and the Charge type blank. Everything else should be filled out the same as the tutorial recommends it.
School Feature Fields
- Add your fields to your School Feature
- Please create all your fields in the system per manual and video tutorial
- To speed up your enrollment process please follow the suggestions below:
- Link to database all your fields that offer this option
- Stay away from making your Fields Required as you will need to fill them out as well when you enroll your students
- Please don't forget to make the ones you want required after you have completed your enrollment for your school
- You will be able to speed up the enrollment process if you choose not to show the Fields on the term just yet
- Please make sure to make them visible after you finished the process of enrollment
- You may also choose to hide the field information on the enrollment by not marking it as Show This on Enrollment Form. This way you will be able to bypass all the fields and make the enrollment a much faster experience.
- Same note as before, please make sure to make them visible after you finished the process of enrollment
Enroll and Confirm your Students
- Enroll your students to the School feature
Next Steps
After enrolling and confirming all your students make sure you have completed the Course setup so you may start taking attendance in the School Feature. Don't forget to make your Fields required and update the Term visibility on them.
