Prep for Going Live Checklist

    ShulCloud recommends reviewing the following Edit Settings & My Lists options in preparation for going live. Additional Settings and My Lists options are available and can be updated as needed.

    Onboarding Clients: Complete the final import before updating Settings & My Lists. The legacy database should now be read-only. Enter all database information exclusively into ShulCloud.

    Settings

    Navigate to Admin > Settings > Edit Settings. 

    The Edit Settings dashboard features a jump menu at the top of the page, enabling users to navigate between the different setting sections.

    Settings Section Description
    1. Lifecycles Review Lifecycle settings
    2. Member Directory If applicable, review Member Directory settings
    3. Other Financial Options
    • If billing email address is different, set billing email address
    • Set Fiscal Year
    • Set Processing Fee Donation Charge Type
    • Set Processing Fee Surcharge Charge Type
    4. Payments & Donations  Review Payments and Donations settings

    5. Shul Location Details 
    1. Set email address for the shul
    2. Set physical address 
    3. Populate longitude and latitude from address (For automated prayer times feeds)
    6. Zman & Religious Options  Review Zman & Religious Options settings

    My Lists

    Navigate to Admin > My Lists.  Review the most common My Lists options. Save changes before navigating away from the My Lists section.

    My Lists Section Description

    1. Account Types

    Check all member account types to ensure 'Is Membership Category For Membership Reporting' box is selected.
    2. Charge Types

    Ensure charge types for donations are selected for display on the online payment dropdown.

    1. Select "Display on Donation Dropdown" checkbox.

    Helpful Tip: If a charge type is selected to display on the Donation Dropdown, "-public" will appear next to the name of the charge type.

    3. Email Senders

     

    Ensure email senders are Amazon SES Verified:

    1. Navigate to Admin>My Lists>Email Sender(s).
    2. Ensure email sender address is set to ‘Amazon SES Verified: TRUE’.

    Please Note: Amazon SES Verification is completed during onboarding. If the email sender still displays 'Amazon SES Verified: False', notify the assigned onboarding specialist to troubleshoot.
    4. Field Templates

    Standardized naming conventions for mail/email tokens (e.g., Mr. & Mrs. Smith, John Smith & Sam Doe, etc.).

    Helpful Tip: To maintain correct database naming conventions, copy the 'statement template' field template tokens and apply them to fields with incorrect naming conventions

    5. Payment Gateway/(s)

     

    Important: An approved gateway will be added to the site within 72 hours of submitting the merchant application.

     

    Submit the Merchant Application to add a payment gateway to the site. 

    1. Navigate to Admin>Extras>Merchant Application.
    2. After the merchant application has been approved, a gateway is added to Admin>My Lists>Gateways.
    3. If applicable, enable the bank verification process for eChecks/ACH.
      • Navigate to Edit Settings>Credit Card Display.
      • Update to Allow Plaid: 'YES'.
    4. Select Update Settings.

    Review: Payment Gateway Fees Set Up

    1. Ensure that the fees for the gateway have been determined and set up.
    2. If applicable, ensure any charge type(s) overriding the gateway fee are also updated.
    3. If accepting ACH/eCheck payments, Navigate to Edit Settings>Credit Card Settings. Select 'Allow Plaid' 'Yes'. Update Settings.

    Please Note: The 'Allow Plaid" setting does NOT display in Edit Settings until an approved gateway has been added to the ShulCloud site. 
    6. Statement Templates

    Review Statement Templates section in My Lists for hard copy & email attachments templates.

    1. Statement - billing/outstanding statement.
    2. Statement for Period - all charges and payments in between two specific dates.
    3. Statement Invoice - an invoice for a specific charge or charges.
    4. Statement Receipt - a receipt for a specific payment or donation.
    5. Thank You Letter - formatted similarly to a receipt, but can be adjusted however you'd like.
    6. Statement Tax Statement - the statement used for your year-end tax letters.

    Navigate to Admin>My Lists>Template Text

    1. Review Payment Email Templates 
    2. Review Page Headers & Footers 
    3. Review Global Templates
