Sync a ShulCloud account with QuickBooks to streamline financial reporting. Follow the steps below to install, configure, and use the sync tool.
Important: ShulCloud Support must enable your sync settings before you can connect to QuickBooks. Please contact Support if you have not yet had this turned on.
How Syncing Works
ShulCloud syncs batches by GL account, not account-level detail.
Account-level detail remains in ShulCloud.
QuickBooks Desktop Setup
Download & Install the Sync Tool
Navigate to Financials > Deposits.
Select Export to QuickBooks Now.
Open the file and select Install.
The sync tool must be installed on the computer where QuickBooks Desktop is installed. The person performing the sync must have permissions in QuickBooks to complete the sync.
Configure Financial Options (Before Your First Sync)
In ShulCloud, Navigate to Financials > Deposits > Export to QB Now and set the following options:
Start Importing Deposits From Date: Choose the date from which deposits should sync.
Account for Open/Unapplied Payments: Select the QuickBooks account for unapplied or open payments.
Create Adjustments for Payment Reallocation: Change this setting to Yes.
Batch Customer Name: Leave this blank.
Start Importing Charge Batches From Date: Choose the date for charge batches to sync.
Note: ShulCloud defaults to accrual accounting (switched from cash in recent updates).
Map Charge Types to GL Accounts
Navigate to Admin > My Lists > Charge Types.
For each charge type, assign the appropriate QuickBooks account:
Cash Users: Both the Income and AR account should be the same.
Accrual Users: Select an Income account for the first dropdown and an AR account for the second.
Running the Sync
- Log Into the Sync Tool
- Open the sync tool on your computer.
- Log in with your ShulCloud credentials (not QuickBooks credentials).
- Start the Sync
- Once logged in, the sync tool will display what data synced and any errors.
- Review errors in ShulCloud: Financials > Deposits > QuickBooks Sync Log.
- Sync Future Batches
- To sync future deposits or batches:
- Open the sync tool.
- Log into your ShulCloud account.
- Select Sync.
