There are three ways to add yahrzeits to the system:
- From the Yahrzeits page (Admin Menu > Yahrzeits)
- Within an account in the Yahrzeits tab
- Marking someone as deceased (more on this here)
Go to Admin Menu - Yahrzeits, and click on "New Yahrzeit" on the top right. You can also go to any individual account, click on the Yahrzeits tab, and then click "Add New." This will bring up a blank yahrzeit record:
You can enter all or some of the information that you have here. The only required field is the name of the deceased.
When you enter an English date, you can click "From English" and the Hebrew date will get generated automatically. If you change the English date, make sure to click to update the Hebrew date as well.
Leap Year Settings in Yahrzeit Records
The ShulCloud yahrzeit system is very sophisticated and will automatically make adjustments for Adar I & II Yahrzeits in a non-leap year to make them just plain Adar. If someone passed away during a leap year, set the date of her yahrzeit to either Adar 1 or Adar 2 and the system will know to fix that automatically and send the notification in Adar when there is no leap year.
When adding a new Yahrzeit in to ShulCloud, There are two settings to determine what happens on a Yahrzeit in Leap Years:
- When someone passes in regular Adar in a NON-leap year (like 2025) it asks what they want to do for leap years. Do they want to commemorate in Adar 1 or Adar 2 or both (and indicates whish minhag the synagogue follows in order to help the mourner make their decision.)
- When someone passes specifically on the 30th of Adar 1 in a leap year. There is no 30 Adar in non-leap years. Regular Adar has only 29 days. Rabbis disagree on when the yahrzeit should be held in these cases. So ShulCloud allows a choice of minhagim to those with this specific date and again indicates which choice the shul normally follows to help the mourner decide.
Add Mourners
Once that tab has all of the information you need, click on "Mourners" to link this yahrzeit to an observer:
The relationship is free text and will allow you to enter any relationship you'd like.
The mourner name will search for matching names in your database and allow you to link to a specific person. As you type, matching names will pop up and the field will turn green once a name is selected.
You can click "Add New Mourner" as many times as you need to add as many mourners as necessary.
When you are adding from within an account, the mourner name will auto load the adult primary on the account. You can leave or replace the name or add additional people.
