    Question Why is Kesef moving to QBO?
    Answer

    Kesef is moving to QBO in an effort to streamline and improve G/L services for our clients. With QuickBooks Online, you’ll benefit from: 

    • Elimination of remote server log in 
    • Real-time cloud-based access to your financial data 
    • Easier collaboration with the Kesef team 
    • Automatic updates and enhanced security 
    • Streamlined and more powerful reporting 

     

    Question Why is Kesef charging a QBO conversion fee?
    Answer

    Our conversion process is very comprehensive. We don’t just bring over the data - we ensure your entire accounting system is accurate, functional, and ready for daily use. Some of the major components of this work include

    • converting the data
    • proofing the financials and balances
    • migrating Bill.com to the new accounting platform and resetting the sync
    • re‑entering the budget
    • recreating memorized transactions
    • rebuilding monthly financial reports
    • initiating the last bank reconciliation
    • remapping ShulCloud charge types

    These are just some of the key steps involved; there are several additional behind‑the‑scenes tasks we complete to ensure a smooth and accurate transition.

    The cost for conversion is just $1500 and can broken up into monthly amounts and added to your subscription payment.

     

    Question What is TechSoup and what is their QuickBooks Online fee?
    Answer

    TechSoup is a non-profit organization that provides technical support and technological tools to other nonprofits. There is no fee specifically for TechSoup. In order to qualify for the TechSoup license, your congregation must be a 501c3.

    TechSoup offers QuickBooks Online licenses for an extremely reduced price of $170/year.

     

    Question What happens if our congregation doesn't qualify for TechSoup
    Answer

    Synagogues and other religious institutions are automatically considered 501(c)(3) organizations and are not required by the IRS to have letters designating them as such. In TechSoup, you can identify your organization as a synagogue, confirm that you are allowed to operate as a non-profit without an IRS 501(c)(3) designation letter, and proceed with the registration process. 

    If your organization is not a 501c3, 

    If you are unable to obtain the subscription through TechSoup, please notify Kesef as soon as possible. Kesef will provide the license and will bill you $275/month for your QuickBooks Online license. 

     

    Question Why are we required to be on the QuickBooks Online Advanced subscription level?
    Answer

    As part of our evaluation, we reviewed all QuickBooks Online product tiers to determine the best long-term solution for our clients. Based on that review, QBO Advanced is the version that consistently meets the requirements we need to support your accounting accurately and efficiently.  

    Specifically, the standard QBO versions have limitations related to chart of accounts and reporting.

     

    Question Will Kesef fees go up?
    Answer

    Your Kesef fees are dictated by your contract and are not affected by the QuickBooks Online migration project.

     

    Question Is there an additional charge for each person granted access to QuickBooks Online?
    Answer

    No. Unlike QuickBooks Desktop, there is not an extra charge for each person who accesses QuickBooks Online.

     

    Question What happens to my CloudDesks charge?
    Answer

    Kesef will inform CloudDesks when you have been fully converted to QuickBooks Online and your CloudDesks billing will cease. If you have further questions about your CloudDesks agreement, please contact David Zacharisen - david.zacharisen@cdesks.com.

     

    Question Will I be able to access all historical data from QuickBooks Desktop in QuickBooks Online?
    Answer

    All historical data from your QuickBooks Desktop file is converted into QuickBooks Online. You will have access to view every transaction and account history for all years.

    As part of our validation process, we perform detailed financial comparisons for the past four fiscal years plus the current year to ensure balances and activity align between systems. Opening balances in QuickBooks Online are tied directly to your verified QuickBooks Desktop balances to ensure continuity going forward.

    In most cases, historical financial reports align between Desktop and Online. However, minor reporting differences can occasionally appear in older periods. These differences are more commonly seen when financial statements are run on a cash basis, due to differences in how QuickBooks Desktop and QuickBooks Online calculate cash-basis reporting.

    Any such differences are typically immaterial, do not represent missing or lost data, and do not impact your verified balances or financial reporting going forward. All underlying transactions remain fully converted and accessible in QuickBooks Online.

     

    Question What will happen to my QuickBooks Desktop file?
    Answer Kesef will provide the synagogue with a backup copy of the QuickBooks Desktop file.

     

    Question What happens to my QuickBooks Online file if I discontinue services with Kesef?
    Answer

    If the client elects not to renew bookkeeping services, Kesef will transfer Primary Administrator access for the QuickBooks Online account back to the client.
