Transaction Filters: Database Level (Reference)

    Introduction

    The transaction screen displays all the transactions currently in ShulCloud. Use filters to create a custom list of transactions. There are three options for filtering transactions:

    • All Transactions
    • Charges Only
    • Payments Only

    All Transactions

    Transaction filter options interface.

     

    Fields Description
    1. Type

    Select from the filter options:

    • All Transactions: Displays both charges and payments.
    • Charges Only: Displays only the transactions that are charges.
    • Payments Only: Displays only the transactions that are payments.

    2. Dates

    Select a date range to display transactions within that period. The system default is the past 90 days. This can be reviewed and changed in the settings.

    3. Use Payment Date

    Select from the filter options:

    • Payment Date
    • Deposit Date: Only shows transactions that have been deposited. 

    4. Amount

    Select from the filter options:

    • Only Positive: Displays transactions with positive amounts.
    • Only Negative (Reversals): Displays transactions with negative amounts, typically representing reversals.
    • Only Zero: Displays only transactions with a zero amount.
    • Custom Range: Allows a specific range between two amounts.

    5. Status

    Select the transaction status:

    • Either Open or Closed: Displays all transactions within a date range.
    • Only Open: Shows charges or payments that have not been allocated.
    • Only Closed: Includes transactions where charges have been allocated to payments.

    6. Public

    Select:

    • Inside Account or Public: Displays all transactions whether or not they have been associated with an account.
    • Only Public: Displays all transactions that are not associated with an account.
    • Only Inside Account: Displays all transactions that are associated with an account.

    7. Note Contains

    		 Filter Notes by specific words or phrases.

    8. Imported

    Select:

    • Imported or Unimported: Displays all transactions whether or not they have been synced with the external financial software.
    • Only Unimported: Displays all transactions that have not been synced with the external financial software.
    • Only Imported: Displays all transactions that have been synced with the external financial software.

    9. Printed

    Select:

    • Printed or Unprinted: Displays all transactions whether or not they statements have been printed.
    • Only Printed: Displays all transactions where statements have been printed for the transactions.
    • Only Not Printed: Displays all transactions where statements have not been printed for the transactions.

     

    Charges Only Filter

    Filter options for charge types and dates.

     

    Fields Description
    1. Type

    Charges Only: Displays only the transactions that are charges.

    2. Dates

    		 Select a custom date range to display transactions within that period.

    3. Amount

    Select from the filter options:

    • Only Positive: Filters to display transactions with positive amounts.
    • Only Negative (Reversals): Filters to show transactions with negative amounts, typically representing reversals.
    • Only Zero: Filters to include only transactions with a zero amount.
    • Custom Range: Allows specifying a range between two amounts to filter transactions within that specified range.

    4. Charge Types

    		 Select specific charge types by which to filter the list. Search for specific charge types or select All or None.

    5. Status

    Select the transaction status:

    • Either Open or Closed: Displays all transactions within a date range.
    • Only Open: Shows charges or payments that have not been allocated.
    • Only Closed: Includes transactions where charges and payments have been applied to each other.

    6. Public

    Select:

    • Inside Account or Public: Displays transactions whether or not they have been associated with an account.
    • Only Public: Displays transactions that are not associated with an account.
    • Only Inside Account: Displays transactions that are associated with an account.
    7. Invoice # Filter by specific invoice numbers.

    8. Note Contains

    		 Filter Notes by specific words or phrases.

    9. Imported

    Select:

    • Imported or Unimported: Displays charges whether or not they have been synced with the external financial software.
    • Only Unimported: Displays charges that have not been synced with the external financial software.
    • Only Imported: Displays charges that have been synced with the external financial software.

    10. Printed

    Select:

    • Printed or Unprinted: Displays charges whether or not they statements have been printed.
    • Only Printed: Displays charges where charges all transactions where statements have not been printed for the transactions.

     

    Payments Only Filter

    Fields Description
    1. Type

    Payments Only: Displays only the transactions that are payments.

    2. Dates

    		 Select a custom date range to display transactions within that period.

    3. Use Payment Date

    Select from the filter options:

    • Payment Date
    • Deposit Date: Only shows transactions that have been deposited. 

    4. Amount

    Select from the filter options:

    9. Receipt # Filter by specific receipt numbers.

    10. Note Contains

    		 Filter Notes by specific words or phrases.
    11. Check Number Starts With Filter by specific check numbers.

    12. Imported

    Select:

    • Imported or Unimported: Displays payments whether or not they have been synced with the external financial software.
    • Only Unimported: Displays payments that have not been synced with the external financial software.
    • Only Imported: Displays payments that have been synced with the external financial software.

    13. Printed

    Select:

    • Printed or Unprinted: Displays payments whether or not they statements have been printed.
    • Only Printed: Displays payments where charges all transactions where statements have not been printed for the transactions.
    14. Scheduled

    Select:

    • Scheduled or Regular Payments
    • Only Scheduled Payments
    • Only Regular Payments (not scheduled).

    15. Dedicated

    Select:

    • Dedicated or Not Dedicated Payments
    • Only Dedicated Payments
    • Only Regular Payments (not dedicated).

    16. Paid by Other

    Select:

    • Paid by Another Account or not
    • Only With Paid by Another Account
    • Only Not Paid by Another Account.

     

    Account Info Filters

    Select the account fields that will be displayed in the filtered list alongside the transaction details. Multiple fields can be selected. The following options can be used to designate fields in each section:

    Search: Search for a specific field name

    All: Select all fields in that particular selection

    None: Clear all selected fields in that particular section

    Section Description
    1. Account Info Select fields with information about the account (for example: Account Type, Join/Resign Date, Marital Status, Tags).
    2. Work Address/Primary Address Select fields that contain Work Primary Address information. 
    3. Billing Address Select fields that contain Billing Address information.
    4. Secondary Select Person information for the Secondary Person on the account (for example: First Name, Last Name, Birthday, Phone Number).
    5. Gabbi Info Select fields that contain Gabbi information.
    6. Address Info Select fields that contain account Address information.
    7. Billing Info Select fields with information about Billing (for example: Account Billing Type, Balance Total, Discount Notes).
    8. Primary Select Person information for the Primary Person on the account (for example: First Name, Last Name, Birthday, Phone Number).
    9. Field Templates Select specific field templates: automatic formatting of members’ names for addresses and salutations. These may be used on labels or in letters and statements.

     

    Output Options and Actions

    Interface with output options and action buttons.

     

    Fields Description
    1. Show Tax Deductible Amount When checked, includes a column in the transactions list for Tax Deductible amount.

    2. Always Show Allocations

    		 When checked, includes a row in the transactions list for the charge that the payment has been allocated to.

    3. Clear Filter

    		 Clears all filters and outputs.

    4. Print Checked Invoices OR Print Checked Receipts/Thank You Letters

    Print Checked Invoices (Charges Only): Select to create a contribution mailing list in ShulCloud. At least one payment must be selected.

    Print Checked Receipts/Thank You Letters (Payments Only): Select to create a contribution mailing list in ShulCloud. At least one payment must be selected.
    5. Bulk Adjust Checked Charges/Payments Charges/Payments Only: Once transactions are filtered by Charges or Payments Only, select to make bulk adjustments. At least one payment must be selected.

    6. Print This View

    		 Prints the filtered list of transactions.

    7. Export This View

    		 Exports the filtered list of transactions to Excel. The file will be located in the downloads folder.

    8. Mail Merge View

    		 Do not use.

    9. Filter

    		 Produces a custom list of transactions based on the filters and outputs selected.
