Batch Billing allows you to add a charge to many accounts at once, either by account type, permanent seat location, or a previous charge/payment.
To get started, go to Admin Menu - Batch Billing. You'll see a list of your previous bills, which you can clone, or you can create a new batch charge.
Either button will take you to the "Create New Batch Charge Page." There are four ways to generate the charge:
1) Single Amount - charge every account (or filter based on account type, account billing type, tag or specific accounts) the same amount:
- Batch Name - This will display on your Batch Bill list.
- Amount - The amount that every account will be charged.
- Charge Type - You must set this so the charges are classified in a specific way.
- Charge Description - What will be shown to the members as the reason for the charge.
2) Seat Ownership - charge accounts based on their permanent seat location:
- Charge Description - The seat the member is being charged for will automatically show up in the finished bill. If you want to add anything to the start of the description, enter it here.
3) Account Type - charge accounts based on the pre-set amount of their account type. In order for an account to be charge, the account type must have a batch bill amount entered. If the amount is zero, then any account with that account type will be skipped:
4) Contribution - allows you to search for a previous charge or payment, in a specific date range and with a specific charge type, and either charge everyone the same amount again, or increase/decrease that amount by a percentage.
- Based Off - can search for a charge or payment, based on that date range and charge type.
Charge Date - The date that each charge will show up on each account.
- Due Date - Set a date for the charge to come due.
- Split this charge - Allows you to divide the charge into up to 12 charges. The charges and due dates will repeat based on the date of the first charge.
Discounts
- Discount Percentage - you can manually set a discount percentage in each account that will reduce the amount of the bill. This will only be used if you check this field.
- Override Amount - you can manually set an override amount in each account that will be used in place of the amount of this batch. This will only be used if you check this field.
Accounts
- Skip accounts - if you select a tag here, anyone with that tag on their account will NOT be billed.
- All Accounts - any account that meets the criteria above will be charged.
- Specify by Account Type - Will only charge those people with that specific account type.
- Specify by Billing Account Type - Will only charge those people with that specific account billing type.
- Specify by Tags - Select one more tags to be billed.
- Specify Accounts - Enter one or more account names to be added to this bill.
- Rollback Bill - If you need to undo your batch, click "Rollback Bill" and the site will remove every charge that was added through this batch bill.
- Download Statements/Invoices - Will take you to the mail system and will populate a list of every account in this batch. You can then either email or generate paper statements or invoices.
