The mailer is the place to send statements to more than one person at a time.
First, go to Admin Menu, select Mail, and then Create New Mail:
In step one, select "billing" from the available mailing list options. You can then decide if you want to send a statement to everyone who has a balance today, or if you want to send the balance as of a different date:
You can also choose to generate paper statements for anyone who does not have an email address (hybrid). To do this, scroll to the bottom of the page in step one and select "If No Email Available, Send Paper Version to Confirmation Message," which will send the files to the email address used as the confirmation email:
In step two, you will see your receipient list. To load the list, select either everyone with an outstanding balance, or everyone, regardless of their balance. If you are sending only an email, you will get a list of people who will get the emai. If you select the hybrid method, you will see people who will receive emails, paper mails, or errors all in different colors:
You can also use Advanced Targeting to create a more custom list of who you want to mail - only members, only people over a certain age, etc.
At this point, all you've done is create a recipient list. Now, you have to decide if you actually want to attach a statement, and if so, what kind. If you want to attach a statement, make sure to select "Attach Personalized Statement." You have three options of statement to attach - Outstanding (only open charges), Statement between dates (all charges and payments in a specific time frame) or Tax Report (tax-deductible payments in a specific time frame). There are also different grouping and charge type options.
Step four is where you enter your message. You can personalize the email, letting people know exactly what they owe and provide a link to collect payment, or make an appeal for more donations in addition to what people owe:
Step six allows you to preview your message and send yourself a test email. This will send you the email and statement of one random recipient. If you send yourself more than one test, you will continue to receive the email of the same account.
Once your mailing is complete, you can see the details on the main mail page. If you sent yourself a paper mailing, you have the option to re-download the PDF statements in case you did not receive them.
